How we handle your information.

Who we are

Inspire Beach Resort is a lakefront resort at 7244 Highway 35, Coboconk, Ontario, Canada K0M 1K0. When this policy says "we", "us", or "our", it means Inspire Beach Resort.

What we collect and why

Contact form

When you send us a message through the contact form on our Contact page, we collect your first name, last name, email address, phone number (if you provide it), the reason for your inquiry, and your message, along with technical details of the submission itself — your browser type and the page you sent it from. We use your details to respond to your inquiry and to follow up on your request; the technical details are kept with the enquiry so we know which page it came from and can review submissions our spam filter flags. Your enquiry is stored in our own database, emailed to our team, and recorded in our customer relationship platform so we can keep track of the conversation.

The contact form also offers an optional marketing consent checkbox. It is unticked by default, and leaving it unticked has no effect on your enquiry — we will still answer you. Ticking it means you agree to receive occasional email and text updates about openings, packages and events. We record the date you consented and the exact wording you agreed to, and you can withdraw consent at any time using the unsubscribe link in any email, by replying STOP to a text, or by contacting us directly.

Newsletter

When you subscribe to our newsletter on the home page, we collect your email address. We use it to send you occasional updates about the resort, seasonal availability, and events. You can unsubscribe at any time using the link in every email. We never sell or share your email address with third parties for their own marketing.

Booking

When you book a stay, the booking process is handled by Cloudbeds, our reservation platform. Any personal information you enter during booking (name, email, phone, payment details) is collected and processed by Cloudbeds under their own privacy policy. We receive the information needed to prepare for your stay.

Information collected automatically

Like every website, ours records basic technical information each time a page is served: your IP address, your browser and device type, the page you asked for, and the time you asked for it. Cloudflare, which hosts this site, keeps these logs so pages load, abuse gets blocked, and faults can be diagnosed. We do not use them to build a profile of you, and we do not connect them to your enquiry or your booking unless we are investigating a specific security problem.

Cookies and tracking

Analytics and advertising

With your consent, we use Google Analytics 4, Google Tag Manager, Microsoft Clarity, and the Meta (Facebook) Pixel. Google Analytics helps us understand visits and page performance. Tag Manager delivers our Google measurement tag. Clarity provides aggregated interaction insights, heatmaps, and session replays with sensitive content masked. The Meta Pixel helps us measure advertising and build audiences. These services may collect pages viewed, interactions, device and browser information, approximate location derived from IP address, and advertising or analytics identifiers.

These site-owned trackers activate only after you accept analytics cookies. You can change your choice at any time using Cookie Settings in the footer. Withdrawing consent stops future tracker loads and clears the readable analytics cookies set on this site; your browser or the providers may retain information already sent under their own policies.

When the booking widget is active, it may also load Google Analytics, Google Tag Manager, and LaunchDarkly as part of the Cloudbeds platform. These services are controlled by Cloudbeds and operate under their privacy policy.

Google Maps

Our Contact page embeds a Google Maps iframe to show our location. Google may set cookies and collect usage data through this embed. This is loaded as a functional feature to help you find us and is not used for advertising.

Google Preferred Sources

Our footer and journal posts carry a “preferred source” button, which lets you tell Google you want to see more of our pages. Making it work loads a small script from Google on every page of this site, and that request shares your IP address, your browser type, and the page you are viewing with Google, in the same way the map embed above does. Pressing the button is what ties the action to your Google account; the exchange that follows is between you and Google, under their privacy policy. Google does not report back to us who pressed it, and we do not use it for advertising.

Cookies we do not set

Our fonts are self-hosted. We do not use Google Fonts, social login, or any other third-party service that sets cookies beyond those described above.

How long we keep your information

We keep personal information only for as long as we need it for the purpose we collected it, and then we delete it. In practice that means:

  • Contact form enquiries — while we are helping you, and for up to two years after we last hear from you, so we can pick up a conversation you started. Ask us and we will remove it sooner.
  • Newsletter subscriptions — until you unsubscribe. We keep a record of the unsubscribe itself so we do not email you again by mistake.
  • Marketing consent records — the date you consented and the exact wording you agreed to, kept for three years after you withdraw consent. Canada's anti-spam law puts the burden on us to prove you agreed, so we have to be able to show it.
  • Booking and payment records — six years after the end of the tax year the stay falls in, which is the period Canadian tax and business-record rules require.
  • Server logs — held by Cloudflare for a limited period under its own retention policy, then discarded.

Who processes your information

The following third parties may process personal information on our behalf or through their own services embedded on this site:

  • Cloudbeds — reservation and booking platform
  • Meta Platforms, Inc. — advertising measurement (Meta Pixel, with your consent)
  • Google — site analytics and tag delivery (GA4/GTM, with your consent), plus the Contact-page map
  • Microsoft — interaction analytics, heatmaps, and session replay (Clarity, with your consent)
  • Resend — delivers contact-form enquiries to our inbox
  • HighLevel — customer relationship and marketing platform, where enquiries and subscriptions are recorded
  • Cloudflare — hosts this site and stores form submissions

Each processor operates under its own privacy policy. We do not sell your personal information to any third party.

Where your information is stored

We are a Canadian business, but the services we use to run this site are operated by companies based in the United States. Your personal information is therefore stored on, or passes through, servers outside Canada — including with Cloudflare, Cloudbeds, Resend, HighLevel, Meta, Google and Microsoft.

While your information is in another country it is subject to that country's laws. Courts, law enforcement and government authorities there may be able to obtain access to it under their own legal processes, without notice to you or to us. We choose providers that commit to protecting what they hold on our behalf, but no contract we sign can override those laws, and we want you to know that before you fill in a form.

How we protect your information

We use technical and organizational safeguards appropriate to how sensitive the information is. Traffic to and from this site is encrypted. Enquiries are stored in a database that only the resort's own accounts can reach, and access to our inbox and our customer platform is limited to the staff who handle guest enquiries.

No system is completely secure, and we cannot promise that information sent over the internet will never be intercepted. Please do not send us health information, government ID numbers or payment card details by email or through the contact form — if we need something like that, we will tell you a safe way to send it.

If we ever discover a breach that creates a real risk of significant harm to you, we will notify you and report it to the Office of the Privacy Commissioner of Canada, as PIPEDA requires, and we will keep a record of it.

Children

Inspire is mostly an adults' retreat. We welcome guests aged 12 and over, and to keep the property quiet we are not taking bookings with children under 12 at the moment.

This website is written for the adult booking the stay. We do not knowingly collect personal information from children through the forms on this site, and we ask that anyone under 18 not send us an enquiry or subscribe to the newsletter without a parent or guardian's permission. If you are booking for a group, only give us details about other people in your party if you are able to do that on their behalf.

If you believe a child has given us personal information, email us and we will delete it.

Links to other sites

This site links out to places we do not control — our booking platform, our social media pages, and the businesses and attractions we recommend near the resort. Once you follow a link you are on someone else's site, under their privacy policy rather than ours, and we are not responsible for what they collect. It is worth reading the policy of any site you hand personal information to.

Your rights

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Know what personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Ask how we have used it and who we have shared it with
  • Withdraw consent for analytics cookies at any time
  • Withdraw marketing consent at any time, without affecting your booking or your enquiry

To exercise any of these rights, email us at [email protected]. We will respond within 30 days.

We may ask you to confirm who you are before we act on a request, so that we do not hand your information to somebody else. In a few situations the law allows us to refuse — for example, where answering would reveal personal information about another person. If we refuse, we will tell you why.

If you are not satisfied with how we have handled your information or your request, you can complain to the Office of the Privacy Commissioner of Canada. We would rather hear from you first, so we get the chance to put it right.

Changes to this policy

We may update this policy when we add new features or services. The date at the top of this page shows when it was last revised.
